Event Review BSSC EXCOOR Training Program “Maximizing Potential”

BSSC EXCOOR Training Program is an event which aims to train new staffs of BSSC 13th Presidency on how to prepare for their future events, as well as to develop their personal and leadership skills. This program was held onsite at BINUS Square Hall of Residence, specifically at BS301 Room by the Internal Affairs Division of 13th Presidency from the 3rd – 5th of April 2023. The theme for this batch’s training program is “Maximizing Potential”, which aligns with the purpose of this training, that is to be a media for the new staffs to maximize their understanding of their respective job descriptions and to enhance their personality skills.
The program started with a pre-training session which was held on Monday, 27th March 2023. The speaker of this session was David Lawrence Christiono, Manager of Internal Affairs Division of BSSC 13th Presidency, who explained about EXCOM and EXCOOR briefly, as well as their job descriptions, particularly focused on jobs before the event. Participants were also assigned a task in which they were needed to list their to-do list as an EXCOM or EXCOOR event and the deadlines according to their respective events.

The first day was held on Monday, 3rd April 2023, and the topic of that day was EXCOM Training Program. Participants were trained about several job descriptions based on their respective EXCOM position in an event, which consists of Project Manager, Secretary, and Treasurer. First, the MCs played an ice-breaking game, called ‘Guess The Animal’ with the participants to set up the mood. The concept of the game is that a part of an animal’s body was revealed, and the participants must guess the animal being shown. After the ice-breaking session, the MCs introduced the first speaker, Janice Olivia Limawan, Chairman of BSSC 12th Presidency, who explained about EXCOM in general, which consists of meetings, timeline, flow of revision, evaluation, etc.,as well as essential things and job descriptions as a Project Manager. After the first session ended, the MCs introduced the second speaker of the day, Karen Wilbert, Vice Chairman of Event Management and Marketing of BSSC 12th Presidency, who explained about essential things and job descriptions as a Secretary or a Treasurer, including proposal, event review, LPJ, operational deadline, quotation, etc. 

The second day was held on Tuesday, 4th April 2023, and the topic of that day was EXCOOR Training Program. Participants were trained about several job descriptions based on their respective EXCOOR position in an event, which consists of Event Division, Partnership, Consumption and Registration Division, and Publication, Documentation, Art and Decoration Division. Similar to the first day, the MCs also played an ice-breaking game, called ‘What Am I’, in which the screen would display several sentences of personification such as ‘I cannot be visited at night’, ‘I am usually pressed by students’, etc., and the participants were to guess that thing or location which was being described. After grabbing everyone’s attention, the training program continued to the main material session. In this session, our first speaker, Kezia Santoso, Chairman of BSSC 13th Presidency, explained about EXCOOR in general, including a list of things needed for the event, evaluation, KPI, etc. In the next session, the participants were divided into three different groups according to their roles in their events. First, the training of the Event and SPK Division was conducted in the secretariat of BSSC. The speaker for this group was Maria Gabriella, Vice Chairman of Finance and Event Management of BSSC 13th Presidency, who explained several important notes and job descriptions of Event Division, consisting of creating rundown and plan B, becoming operator or time keeper, making an event review, etc. Second, the training of the Partnership, Consumption, and Registration Division was conducted at the rear of the BS301 Room. The speaker for this group was Tifara Beata Wibowo, Vice Chairman of Operation and Legal of BSSC 13th Presidency, who explained several important notes and job descriptions of Partnership, Consumption, and Registration Division, such as making MoA, approaching speakers, doing paid promote and media coverage, etc. Last, the training of the Publication, Documentation, and Art and Decoration Division was conducted at the front of the BS301 Room. The speaker for this group was Kezia Santoso, Chairman of BSSC 13th Presidency, who explained several important notes and job descriptions of the Publication, Documentation, and Art and Decoration Division, which includes designing event’s logo, poster, MC’s Qcard, certificate, as well as doing some documentations and publications during and after the event respectively.

The last day was held on Wednesday, 5th April 2023, and the topic of that day was Personal Skills Training Program. Participants were trained about several areas of knowledge of personal skills including leadership, communication, time management, and project management skills. The speaker of this last day was Janice Olivia Limawan, who explained about the ways to develop one’s personal skills since it was crucial for the new staffs to develop their mindset and act. Also, by understanding this concept of personal skills, their jobs would be much more effective than before. In addition to that, to further develop participant’s knowledge and skills, they were assigned to an insight enrichment which required their involvement in interviewing seniors regarding their difficulties in their previous event, both before and during the event, as well as the solutions provided to minimize their difficulties and their ideas of forthcoming events.
